Description

The National Coptic Charity is seeking two highly motivated and dedicated individuals to join our team as Event Planning Interns. This internship offers a unique opportunity to gain hands-on experience in event coordination, nonprofit operations, vendor management, and strategic communication while contributing to a meaningful cause. We are looking for individuals who are ready to work hard, set high standards, and make a real impact by supporting the planning and execution of our annual banquet and future events.

Key Responsibilities

  • Venue Research & Coordination: Assist in researching potential venues that meet our organization’s budget, standards, and capacity needs. Request quotes, confirm availability, and gather layout or logistical information. 


  • Vendor & Partner Communication: Communicate with venue representatives, catering teams, AV professionals, decorators, and other vendors to ensure smooth coordination and timely responses. 


  • Event Timeline & Planning Support: Help develop event timelines, run-of-show schedules, planning checklists, and internal workflow documents to keep all preparations on track. 


  • Marketing & Outreach: Support the promotion of the event through advertising efforts, outreach to attendees and donors, and assisting in communication with keynote speakers and other important guests. 


  • Ticketing & Guest Management: Assist with ticket sales, tracking RSVPs, building seating charts, and creating placement cards for guests. 


  • Day-of Event Support: Provide hands-on support with setup and tear-down of the venue. Assist with guest check-in and ushering attendees to their seats to ensure a smooth and welcoming experience. 


  • Administrative Support: Help maintain organized records, spreadsheets, and communication logs. Assist with meeting preparation, follow-up tasks, and general event-related administrative needs. 


  •  Post-Event Support: Assist with thank-you notes, post-event communication, evaluation surveys, and documenting lessons learned for future events.

Qualifications

  • Strong interpersonal and communication skills, with the ability to confidently communicate with vendors, attendees, and team members. 


  • High level of motivation, with the ability to work hard and maintain high standards for success. 


  • passion for event planning, nonprofit work, and contributing to the mission of the National Coptic Charity. 


  • Strong organizational skills and the ability to multitask effectively in a fast-paced environment. 


  • Previous experience in customer service, events, or hospitality is a plus but not required. 


  • Proficiency in Microsoft Office Suite and/or Google Workspace


  • Creativity, attention to detail, and willingness to learn and grow through challenging situations. 


  • Ability to occasionally assist during evenings or weekends for event-related activities.
